Customers have no reliable way to know whether that address actually belongs to your company. Scammers know this too.

An address at your own domain is different. Only someone who controls the domain can create email addresses on it.

You also keep control of the address.

If an employee leaves, their email address stays with the business. You decide whether it should be forwarded, reassigned or closed. If you change email providers, the address stays the same.

With a free email account, the address ultimately belongs to the individual account and remains subject to the provider’s rules.

Using your own domain also lets you authenticate your email.

Your domain can publish DNS records telling receiving mail servers which systems are authorized to send mail on your behalf. That makes it much harder for someone else to impersonate your domain and improves deliverability.

You cannot configure those records for gmail.com or outlook.com yourself. That’s one reason messages sent “from” a free address through a website contact form, invoicing system or other third-party service can end up in spam.

What should your business email address look like?

Use the domain your customers already know.

If your Canadian business website is yourbusiness.ca, your email should normally use the same domain.

If you own both the .ca and .com versions, choose one as your primary email domain and configure the other so messages sent to either version still reach you.

Choose one format for employee addresses and stick with it.

For a small team, first names such as jane@yourbusiness.ca are simple and friendly.

As the company grows, you may eventually have two employees with the same first name. At that point, formats such as firstname.lastname@yourbusiness.ca or jsmith@yourbusiness.ca become easier to manage.

The exact format matters less than consistency. Customers and employees should be able to guess someone’s address without having to look it up.

Use role addresses for functions, not individuals.

Addresses such as info@, sales@, billing@ and support@ should represent a job rather than a specific person.

In a small business, these can often be set up as forwarders that deliver mail to the appropriate employee’s regular mailbox instead of giving several people the password to one shared account.

When responsibilities change, you simply update the forwarder.

Keep addresses easy to say and type.

Avoid unnecessary numbers, hyphens, nicknames and anything that requires a long explanation over the phone.

If you find yourself saying, “That’s info, dash, the number four, sales,” the address is probably more complicated than it needs to be.

Avoid catch-all addresses.

A catch-all accepts mail sent to any address at your domain, including addresses that do not actually exist.

It sounds useful, but in practice it usually becomes a magnet for spam sent to randomly generated addresses. Spammers will find it quickly.

Where should you host your business email?

For most Canadian small businesses, there are three realistic options.

Email included with your web hosting

Most traditional web hosting plans include email hosting for your domain.

Instead of paying separately for every employee, many hosting plans charge one flat fee whether you create three mailboxes or thirty.

You usually get browser-based webmail – on cPanel hosting, that’s typically Roundcube – along with support for Outlook, Apple Mail, Thunderbird and mobile mail apps using IMAP.

For businesses that mainly need reliable domain-based email and don’t require an entire office collaboration suite, this is often the simplest option.

You also don’t need to host a website on the account. A hosting plan can be used purely for email.

Google Workspace

Google Workspace gives you Gmail using your own domain, along with Google Drive, Docs, Calendar, Meet and the rest of Google’s business tools.

Pricing is per user, so your monthly cost increases as you add employees.

It makes the most sense when you want the rest of Google’s collaboration tools as well as email, rather than simply wanting an inbox at your own domain.

Microsoft 365

Microsoft 365 provides Exchange-based email along with Microsoft’s business ecosystem.

Depending on the plan, that can include Teams, OneDrive and the desktop versions of Outlook, Word, Excel and PowerPoint.

Like Google Workspace, pricing is generally per user.

For businesses already built around Outlook, Office and Teams, Microsoft 365 is often the most natural fit.

Think about where your data is governed

There’s another issue worth considering, particularly for businesses handling sensitive client information in areas such as law, health care, finance or immigration.

Google and Microsoft are US companies. Both operate Canadian data infrastructure, but data location and legal jurisdiction are not necessarily the same thing.

Under the US CLOUD Act, US companies can in some circumstances be required to produce data they control even when that data is stored outside the United States.

For many Canadian businesses, that trade-off is perfectly acceptable. For others, Canadian ownership and Canadian legal jurisdiction are important requirements.

We explain the distinction in more detail in what “Canadian data sovereignty” actually means.

Your website and email also do not need to be hosted by the same company. DNS records allow your website to point to one provider while your email points somewhere else.

How to set up a business email address

Regardless of which provider you choose, the basic process is similar.

Register your domain name, or use the domain your website already uses.

Create your email accounts. Set up a mailbox for each employee and add role addresses such as sales@ or billing@ as forwarders where appropriate. On cPanel hosting, mailboxes are created from the Email Accounts section.

Point your domain to the email provider. If your hosting company also manages your DNS, this may happen automatically or by changing your domain’s nameservers. With Google Workspace or Microsoft 365, you’ll normally add their MX and verification records wherever your DNS is managed.

Configure email authentication. Make sure SPF, DKIM and DMARC are correctly published for your domain.

Connect your computers and phones. For conventional email hosting, use IMAP so the same mailbox and folders remain synchronized across your phone, computer and webmail. Our POP3 vs. IMAP guide explains the difference.

The business email problems we see most often

Most email problems are not particularly exotic. The same DNS and configuration mistakes come up repeatedly.

The domain was never pointed to the new email service

The mailbox exists. The password works. Webmail may even open normally.

But no email arrives because the domain’s MX records still point to the previous provider.

If you’ve just created a mailbox and nothing arrives at all, this is one of the first things to check.

Moving the website accidentally broke the email

This is one of the most common problems we see.

A business moves its website to Wix, Squarespace or another provider and follows instructions to “connect the domain.”

In the process, the entire DNS configuration gets replaced – including the MX records controlling email.

The website works, but email stops arriving.

Because DNS changes can take time to propagate, the email problem may not appear until hours or even a day later, which makes the connection to the website move less obvious.

If you’re moving only the website, change only the DNS records required for the website. Leave your email records alone.

SPF, DKIM or DMARC is missing or duplicated

These three records play different roles in email authentication.

SPF identifies which servers are authorized to send email for your domain.

DKIM attaches a cryptographic signature that allows receiving servers to verify that a message was legitimately sent on behalf of your domain.

DMARC tells receiving mail systems how to handle messages that fail those authentication checks and provides reporting.

Major email providers have steadily tightened their authentication requirements, making these records increasingly important for reliable delivery.

One of the most common mistakes we see isn’t a missing record – it’s a duplicate.

A domain should have one SPF record and one DMARC record.

If you publish two separate SPF records or two DMARC records, receiving servers can treat the configuration as invalid. In practical terms, that can be just as bad as not having the record at all.

A new sending service wasn’t authenticated

Your normal email may work perfectly while messages from your newsletter platform, CRM, booking system or invoicing software go straight to spam.

That’s because every service sending mail on behalf of your domain needs to be authorized.

Depending on the provider, that may mean adding it to your SPF configuration, enabling DKIM records supplied by the service, or both.

Whenever you add a new system that sends email using your domain, authentication should be part of the setup.

Testing a Gmail forward from the same Gmail account

Forwarding business email to a personal Gmail account is common and usually works well.

But there’s one confusing situation.

If you send a test message from your personal Gmail address to your business address, and that business address forwards back to the same Gmail account, Gmail may group the forwarded copy with the message you originally sent.

It may not appear as a new message in your inbox.

That can make the forwarder look broken even though it’s working properly.

Always test forwarding from a different email address.

The bottom line

Setting up a professional business email address is straightforward: you need a domain name, somewhere to host your email, and a properly configured set of DNS records.

Choose a consistent address format your customers can easily understand. Use role addresses such as sales@ and billing@ for business functions. Pick your provider based on whether you need email alone or a broader office and collaboration suite.

Then make sure your DNS points to the correct mail servers and that SPF, DKIM and DMARC are configured properly.

Those few decisions prevent the large majority of business email problems we see.

Full disclosure: this is a hosting provider’s blog, and email hosting is one of the things we sell. We’re CanSpace, a Canadian-incorporated company with every server in Canada. Email at your domain is included with every hosting plan, you don’t need to host a website to use it, and on our Medium and Professional plans the price is the same whether you create five mailboxes or fifty.
